Guidelines and Procedures
Thank you for your interest in planning an activity to benefit the Children’s Organ Transplant Association (COTA). We are grateful you are considering making COTA the recipient of the proceeds from your fundraising activity.
Your first step is to review COTA’s guidelines for fundraising activities.
The following is a preliminary list of the criteria COTA uses to evaluate proposed events:
- Does the activity support the mission and image of the Children’s Organ Transplant Association?
- If the activity organizer is working with a patient campaign, do the patient family and campaign volunteers know and trust the event organizer/sponsor and feel their intentions are sincere?
- What are the plans for the activity?
- What are the estimated proceeds from the activity?
- Does the activity organizer understand COTA’s policies and procedures, and does the event organizer agree to follow COTA policies and procedures?
Prior to completing the Event Proposal Form, please be aware that:
- COTA and COTA volunteers may not provide any funding, donor lists, volunteer contacts, and may not solicit sponsorship revenue for independent or third party fundraising activities.
- COTA cannot provide materials, resources or personnel to help with activity planning and implementation.
- COTA cannot be an activity sponsor.
- The COTA brand, logo and/or name may be used only to identify the beneficiary of activity proceeds.
We state this information in advance so there are no disappointments or misunderstandings with regards to COTA’s ability to support your fundraising activity.
Steps in the activity proposal process are:
- Independent or third party activity organizers complete the Event Proposal Form and submit it to COTA for approval.
- Within one week of proposal receipt, COTA will review the proposal and approve the proposal or ask the activity organizers for more information.
- Activity organizers contact COTA with any questions related to contributors and their donations.
- COTA campaign volunteers and/or families may attend the activity to accept the activity proceeds and to answer questions about the family’s transplant-related situation.
- After the activity, the event organizers contact COTA to tie up loose ends and to review the donation process.
- The event organizers submit an Event Report Form to COTA within two weeks of the event.
