Community Coordinator

The Community Coordinator oversees the community campaign from start to finish. We provide the Community Coordinator a team training, materials necessary, and fundraising resources to get the campaign organized. We are available to answer questions and assist throughout the fundraising campaign.

The ideal Community Coordinator should be able to commit several hours per week during the early stages of the campaign, and should schedule periodic meetings with volunteers to discuss the progress of the campaign and planned events. The Community Coordinator will also motivate and encourage volunteers.

Qualifications
  1. Available via phone and/or email.
  2. Have access to a computer and the Internet, and be able to use email and the Internet effectively.
  3. Able to meet people easily and communicate clearly.
  4. Have excellent knowledge of the community and know a variety of people.
  5. Live in the area where the majority of the fundraising activities will take place.
  6. May not be the patient or patient’s caregiver(s).
Task List
  1. Recruit the Public Relations Coordinator and the Website Coordinator. Oversee all volunteers.
  2. Keep in touch with volunteers using email, phone and/or printed materials.
  3. Coordinate the master list of all activities including volunteer names and addresses, as well as activity and event date, time and description.
  4. Manage Budget Worksheets and fundraising expense submissions when appropriate.
  5. Maintain close contact with COTA, reporting progress and communicating the needs of the volunteers.

Public Relations Coordinator

In order for a COTA community campaign to be successful, volunteers will need to make the public aware of the family’s transplant journey. The best way to do this is by recruiting a Public Relations Coordinator who develops relationships with area media (newspapers, television and radio), by identifying key community communications networks, and by using social media platforms.

Qualifications
  1. Should live in the area where the majority of the COTA fundraising will take place.
  2. Have excellent knowledge of the community and know a variety of people. (Solid communications skills are a plus.)
  3. Should be comfortable using a computer, working on the Internet and using email.
Task List
  1. Serves as the primary contact person with the media. Ensures accurate information is provided to the media and community.
  2. Coordinates media contacts, press releases and publicity for COTA community campaign activities using COTA resources and templates.
  3. Looks for creative means of free advertising and publicity; recruits local printers to donate printing services, if needed.
  4. Uses grassroots strategies and community communications networks to make the public aware of the need to fundraise for transplant-related expenses.
  5. Works very closely with the Website Coordinator to ensure the website is regularly updated with news, photos and other compelling information. Promotes the COTA campaign website, and social media platforms, in all communications.

Website Coordinator

COTA provides a no-cost website to every community campaign for the life of the patient. We will set up the initial website and purchase a unique, shortened domain name for the campaign (which is available for one year). The Website Coordinator will update and customize the website according to the needs of the community campaign. COTA provides step-by-step instructions to use with the website editing platform, and we are available to answer website-specific questions.

Note that COTA volunteers and families may not use or maintain any other website, other than the COTA-provided site, during the campaign. COTA does encourage the use of social media platforms to share information about the community campaign and to direct followers to the campaign website.

  1. Have access to a computer and the Internet, and be able to use email and the Internet effectively.
  2. Comfortable using computers and programs.
  3. Willing to work closely with the Community Coordinator and Public Relations Coordinator.
Task List
  1. Work closely with volunteers and family to update and maintain the COTA campaign website. Make frequent updates to the blog, events tab and photo galleries so the website stays fresh.
  2. Encourage the family and/or patient to post blog updates to the website.
  3. Follow COTA website guidelines. COTA reserves the right to modify content that does not follow COTA guidelines or IRS compliance.
  4. Communicate regularly with COTA.
  5. Available to work on website for the duration of the COTA fundraising campaign.
